As a company that sells both barcode and RFID solutions, we are often asked which one is "better". The truthful answer is that neither is better in general. They are tools with different strengths, and the right choice depends on your process, volumes and budget. In many sites the best answer is a combination of both.
What barcodes do very well
- Very low cost per label. A barcode is just ink on a label, so the marginal cost is tiny.
- Universal standards. EAN/UPC, Code 128, QR and GS1 DataMatrix are recognised everywhere, from your own warehouse to a retailer's checkout.
- Simple hardware. A good 2D scanner is affordable, and most mobile computers have one built in.
- Deliberate, one-at-a-time capture. When you want the operator to confirm each item individually, scanning is natural.
Their limitation is that each barcode needs line of sight and must be scanned one at a time. Counting 2,000 items means 2,000 scans, and missed or double scans are a real source of error.
What RFID does very well
- No line of sight. Tags can be read inside cartons, behind other items or on a hanging rail.
- Bulk reading. A UHF handheld can read hundreds of tags per second, turning a day-long stock count into an hour or less in many environments.
- Unique serialisation. Every tag carries a unique EPC, so you know exactly which item moved, not just which product type.
- Automation. Fixed readers at doors, conveyors and gates capture movement without anyone scanning.
The trade-offs are higher cost per tag, the need to plan for metal and liquids, and more upfront work in software and process design.
Signs you should consider RFID
- Stock counts take so long that you do them rarely, and accuracy suffers between counts.
- You handle high item counts per carton or per rack, such as garments, footwear or small parts.
- Your buyers require RFID source tagging on shipments.
- High-value items, such as jewellery, must be verified frequently and quickly.
- You want to record movement at gates or doors without manual scanning.
- Shrinkage or "lost" assets are a significant cost.
Signs barcode is still the right tool
- Low volumes where scanning is already quick and accurate.
- Low-value items where even a cheap tag noticeably affects margin.
- Processes that require individual confirmation anyway, such as checkout in a small store.
- Regulatory marking that specifically requires a printed code, such as DataMatrix for product traceability schemes.
Why hybrid is so common
An RFID label almost always carries a printed barcode and human-readable text as well as the encoded chip. This is not redundancy for its own sake:
- Partners without RFID can still scan the barcode.
- If a tag is damaged, the item can still be identified.
- Checkout counters may continue to scan barcodes while back-of-house uses RFID for counting.
- Regulatory codes, such as GS1 DataMatrix, can live on the same label as the RFID inlay.
Hardware is converging too. Many mobile computers combine a 2D imager with an optional UHF RFID module, and some industrial scanners now include RFID. For example, the Datalogic PowerScan 9600 RFID range combines barcode scanning with UHF reading in one rugged device - see our Datalogic page for the models we supply.
A sensible migration path
You do not have to switch everything at once. A common approach is:
- Keep your existing barcode labelling and ERP integration.
- Add RFID to the area with the clearest benefit, usually stock counting or dispatch verification.
- Print RFID labels that also carry your existing barcode, so nothing downstream breaks.
- Measure the results for a few weeks, then extend to the next process.
